Speedy Scanning Helps Strengthening Document Security and Reducing the Storage Space
The Alumni Association of St. Francis Xavier's School, Tsuen Wan was established for decades. When the School needs to recruit volunteers for different activities, most alumni are willing to participate in them. This clearly shows how strong and united the Association is. Principal Chong believes that the School is not just a place for studying but it is actually a "Home" for the students where creates a sense of belonging to them. Since the Association has been established for years, there are many concrete information and materials to be preserved; and with the request of new academic structure, the School has to record all the students' information and school works, etc. Therefore, the School is in urgent need to solve the storage problem.
According to Principal Chong, sparing rooms from the limited spaces is not an easy task even though the current huge amounts of data and document have already been stored separately. So, it would be a harsh job to do if a 1980's document is needed. But now, the scanning function of the MFP can assist in accumulating the students' information, homework and activity records without causing any storage problem.
Principal Chong recalled the days before installing the MFPs when teachers used the old scanners to digitalize the homework into files. The task was just so time-consuming that reduced the teaching preparation time. The new MFPs are with high scanning speed which can relieve such pressure, enrich the teaching quality and finally, benefit the students.
Principal Chong also mentioned the digitized data not only can speed up the job, but also strengthen the data management and document security. At present, whenever searching information, printing or user authentication is needed, it is very efficient and greatly aids the teaching works. He said, "It is essential for the School to enhance the teaching quality and it is what the parents want us to do. We always pay much attention to the change of teaching methods. During these changes, we need to print and store a certain amount of teaching materials or promotion printouts like posters, banners, leaflets, etc. And it is expected that in the coming future, the teaching work will depend more on the assistance of MFP and fulfill the parents' expectations."
