  • Konica Minolta Assists St. Francis Xavier's School Tsuen Wan to Improve Teaching Quality by Self-Producing Exquisite Printouts and Reducing Resources Wastage

"It is essential for the School to enhance the teaching quality and it is what the parents want us to do. We always pay much attention to the change of teaching methods. During these changes, we need to print and store a certain amount of teaching materials or promotion printouts like posters, banners, leaflets, etc. And it is expected that in the coming future, the teaching work will depend more on the assistance of MFP and fulfill the parents' expectations."

  • Konica Minolta Assists St. Francis Xavier's School Tsuen Wan to Improve Teaching Quality by Self-Producing Exquisite Printouts and Reducing Resources Wastage
  • With the implementation of new academic structure "334", secondary schools in Hong Kong have to make some changes in their teaching arrangement. The teaching method is not only designed to be more flexible for different student's learning progress, but also suits today's ever-changing society which can broaden the students' horizons and international thinking. However, making changes in that short time is not an easy task at all, especially when it involves large amount of document storage, printing and distribution, etc. There is no doubt that the pressures of the staff and teachers are increasing. However, there is no obstacle for St. Francis Xavier's School, Tsuen Wan to implement the new academic structure. It is because the School always encourages students to join the overseas tour and interchange programs for the sake of training them to think critically and view internationally. In the meantime, the School has deployed Konica Minolta's Digital Multi-Functional Systems to manage all the documents well.

St. Francis Xavier's School, Tsuen Wan is a Government Aided Boys College which provides students with the opportunity of learning the Gospel of Christ in order to enrich their spiritual life and nurtures a whole-person education for students so as to develop their moral, intellectual, physical, social and aesthetic potentials. There are 51 teachers and around 900 students, i.e. 24 classes, in the School now. In order to match up with the flexible teaching modules, teachers of different subjects have to prepare the teaching materials, notes and worksheets for the students by themselves. Moreover, the school administration has to copy the documents, minutes, certificates and school newsletter for records. In addition to the "Special Programs" organized or participated by the school, such as Summer School, Inter-school Competitions and Training Camps, St. Francis Xavier's School, Tsuen Wan depends on the copiers, scanners and printers very much.

  • Saving Human Resources and Creating Exquisite and Timely Teaching Materials

The work mentioned above has brought headache to Mr. Chong, Principal of St. Francis Xavier's School, Tsuen Wan. "By the needs of different jobs, we have to copy/ print around 1.5 million copies per year. In the past when we were using the ordinary and slow copiers and scanners, our staff had to fill in the copy-request-form while they needed to do bulk copies of the teaching materials. They had to state out clearly on the print/copy quantity and what kind of format they requested in the form and the printing job was responsible by an assigned staff. On top of that, all documents and teaching materials are needed to have few more copies for storage. All these factors have increased the cost on human resources and created wastage."

Later on, Konica Minolta introduced their Multi-Functional Peripherals (MFP) to Principal Chong, while these products has greatly relieved his pressures on human resources allocation. Moreover, each teacher only needs to spend 10 minutes on learning how to operate them and finish all the teaching materials on his/her own. Hence, no more assigned staff is needed for printing. Different from the traditional copygraphs and copiers, these new MFPs can produce fast and exquisite printouts.

Principal Chong further explained, "Our school is based on the ability of every student to adjust the teaching progress but the textbooks sold in the market are not usually suitable for every student's learning progress. Therefore, each teacher will create and organize the additional teaching materials regarding to the learning ability of each class. The teaching materials would then be with huge variety but in small quantity. In addition, the daily news clippings are always the best topic for lessons. Teachers sometimes need to use these updated information for the current classes. If teachers have to spend much time on printing the materials, this will reduce their time in teaching preparation and eventually affect their devotion to teaching. Besides, the newly-installed MFP is with the additional finishing options which have the hole-punching, stapling and saddle stitching functions for making booklets. The MFP simply helps teachers to finish the decent reading materials in a very short time and brings convenience to both teachers and students to carry and collate."

  • Full Color Posters and Banners Arouses Students' Interest in Participating in Extra-curricular Activities

Principal Chong also believes that besides studying hard, visiting around the world can also be substantial to the school lives. Therefore, the School always encourages her students to enhance their study skills and broaden their horizons through participating in the extra-curricular activities or the international/ local expeditionary tour. For example, recently the School has visited her companion school in Shanghai. The students had to live in the local family, study in that school and also have a visit to the World Expo 2010. Principal Chong expressed, "Most of the time, after taken part in the tours, students would find out that the world is bigger than their expectations and realize that they know too little. For instance, last year we visited the Great Hall of the People in Beijing and experienced the scene where over a thousand students met the China Government Officials. It would be an unforgettable moment to the students and they become more enthusiastic to their studies."

When promoting these kinds of activities, on top of the invitation by teachers in the classes, St. Francis Xavier's School, Tsuen Wan also uses the MFPs in making the full color posters and banners to arouse students' interests. In the past, because of the long production time by the printing companies, the School seldom used this method for promotion; but it is very convenient for making various promotion materials now which can perfect the teaching work."

  • Self-produced Booklets Help Students to Share Learning Results

Since the School organizes the oversea tours, the students have to share their experiences through the School TV, Notice Board, School Newsletter or Booklet and sometimes, in the Sharing Sessions. These actions aim to let other students and parents know more about the pleasure from the tours and hence, encourage more students to take part in it.

Formerly, the School passed the booklet printing jobs to the printing companies. However, the whole printing job also involves the collation, editing and logistic, etc. and the production time lasts for 1-2 weeks which cannot fulfill their needs. Furthermore, in case of any insufficient copies, the School had to order an extra few tens of copies for spare. For the time being, the MFPs greatly reduce the printing time and it is easier for teachers and students to amend or revise the content before printing. In addition to the "On-demand Printing", the self-produced booklets can save a lot in terms of time, money and manpower, and lessen the wastage in order to protect the environment.

Principal Chong mentioned, "Most of the activities need the support of the fund, manpower and connection from the parents, and alumni. Accordingly, our school is aspiring to build up strong communication between parents and alumni, and actively reports details in addition to results of the activities to them. So, we will send out the School Newsletter to our Alumni and for parents, and we will also organize the Parents-Teachers Association (PTA), hold seminars and update our school website. Many important information are printed by the MFPs and we have targeted the entire printing job to be done in school."

  • Speedy Scanning Helps Strengthening Document Security and Reducing the Storage Space

The Alumni Association of St. Francis Xavier's School, Tsuen Wan was established for decades. When the School needs to recruit volunteers for different activities, most alumni are willing to participate in them. This clearly shows how strong and united the Association is. Principal Chong believes that the School is not just a place for studying but it is actually a "Home" for the students where creates a sense of belonging to them. Since the Association has been established for years, there are many concrete information and materials to be preserved; and with the request of new academic structure, the School has to record all the students' information and school works, etc. Therefore, the School is in urgent need to solve the storage problem.

According to Principal Chong, sparing rooms from the limited spaces is not an easy task even though the current huge amounts of data and document have already been stored separately. So, it would be a harsh job to do if a 1980's document is needed. But now, the scanning function of the MFP can assist in accumulating the students' information, homework and activity records without causing any storage problem.

Principal Chong recalled the days before installing the MFPs when teachers used the old scanners to digitalize the homework into files. The task was just so time-consuming that reduced the teaching preparation time. The new MFPs are with high scanning speed which can relieve such pressure, enrich the teaching quality and finally, benefit the students.

Principal Chong also mentioned the digitized data not only can speed up the job, but also strengthen the data management and document security. At present, whenever searching information, printing or user authentication is needed, it is very efficient and greatly aids the teaching works. He said, "It is essential for the School to enhance the teaching quality and it is what the parents want us to do.

  • Providing the Total Solutions of Document Management in Accordance with the Needs of Different Customers

At the beginning, when Principal Chong was selecting the MFP, he had compared the products and services provided by other brands with Konica Minolta. Finally, through the tailor-made seminar for Education Industry and the detailed presentation and analysis by its professional salesmen, Principal Chong believed that Konica Minolta can effectively pinpoint the actual needs of the School and provide the Total Solutions for enhancing the working efficiency and standard. Moreover, Konica Minolta's MFPs are easy to be operated and can promptly finish the printing jobs with the printouts in different sizes. Meanwhile, their after-sales, customer service and technical supports are satisfactory. Consequently, the final decision made by Principal Chong with the opinions of PTA and teachers is undoubtedly correct.

Mr. Robert Ip, Director of Sales, Marketing and Corporate Communications of Konica Minolta expressed, "If any organization or enterprise needs help in document management, the professional document consultant of Konica Minolta will visit the company for collecting and analyzing the data, and then finding out the root of the problem as well as providing the most suitable solutions. We hope this service and our solutions can relieve the pressure in human resources allocation of Education Industry, and hence, teachers can spare more time for their teaching work."

Viewing the whole teaching process of St. Francis Xavier's School, Tsuen Wan, it is fundamental for the School to provide a caring learning atmosphere where students take initiative to learn and explore. It is assured that Konica Minolta's Digital Multi-Functional Systems can accomplish the diversified teaching methods. The total solutions designed and provided by Konica Minolta can also strengthen the teaching quality.
